We are looking for an experienced Executive Assistant to join our team, based out of Charlottetown, PEI. The ideal candidate must share our core values of honesty, desire to grow professionally, be proactive, and have the capacity and knowledge of the position.

 

Duties will include:

● Remind the CEO and Presidents of important tasks and deadlines;

● Providing business support analysis and coordination activities as required while ensuring adherence to policies and procedures;

● Arrange corporate events to take place internally and outside of the workplace, such as fund-raising and staff appreciation events;

● Complete and process expense reports, invoice approvals, and professional registrations;

● Develop activities and recruitment of association members;

● Draft and prepare correspondence, presentations, and reports with a high level of presentation and professionalism;

● Write, review, proofread, edit documents, reports, speeches, presentations, and correspondences:

● Client event management – venue sourcing, invitations and all event logistics;

● Manage, coordinate and maintain calendars and mailboxes, schedule appointments and meetings, prepare documents, draft letters and presentations;

● Answer and track calls from external suppliers and requests for partnerships (advertising agencies, posters, advertising and sponsorships);

● Monitoring CEO and President’s schedules and arranging and confirming appointments, meetings and social events;

● Monitor and contribute to social media campaigns;

● Reviewing CEO and President’s incoming mail. Redirecting correspondence per President’s instructions and maintaining follow-up;

● Drafting memos, letters and other correspondence from verbal or written instructions;

● Preparing agendas and record minutes for Senior Management Team meetings;

● Providing the CEO & President with background material for meetings and appointments;

● Coordinating all travel and accommodations for the CEO and President’s and preparing, submitting and entering travel claims;

● Maintaining close contact and a positive working relationship with departmental personnel and the Senior Management Team;

● Assisting the Senior Management Team in business-related interactions with all levels of government, respective agencies, partners and the private sector;
